User Roles

There is a singular role for general users of the Glean system: Member.

Users with the Member role can have additional Moderator permissions assigned to by them by an Admin or Super admin to allow them to manage content within different features of the Glean platform.

Users with the Member role (with or without Moderator permissions) have no access at all to the Admin UI / Workspace Settings.

Member Role

Members have the following set of base permissions:

AI App Builder

Answers

  • Can view, edit, and delete Answers they are added as an editor to.

Collections

  • Can view anyone’s Collections. Can also add/remove items and edit the thumbnail/banners on anyone’s Collections.

General

  • Can access all content that they have permission to view.

Go Links

  • Can edit and delete their own Go Links.
  • Can view anyone’s Go Links.

Pins

  • Can create private Pins, only visible to them
  • Can view anyone’s Pins for which they are in the audience

Teams

  • Can edit team pages in which they're a member.

Verification

  • Can verify and deprecate their own documents.

Altering the default Member permissions

Administrators with the Admin and Super Admin roles can alter the default permissions for the Member role to include the following:

  • Create new Answers
  • Create new Collections
  • Create new (public) Pins
  • Create new (public) Go Links

Moderator Permissions

Moderator permissions exist for almost every knowledge management feature within the Glean platform. These permissions can be selectively applied to specific users by either an Admin or Super Admin.

Announcements Moderator

Teammates with this role can now create, edit, and delete Announcements.

Teammates with this role can now create public Answers, and view, edit, and delete anyone's Answers.

Collections moderator role

Teammates with this role can now create Collections.

Teammates with this role can now create public Pins for any document, and edit and delete anyone’s Pins.

Verification moderator role

Teammates with this role can now Verify and Deprecate any document, and edit and delete any existing Verifications.

Other Permissions

In addition to moderator permissions, there are other permissions that can be selectively assigned to users with the Member role to provide access to other parts of the Glean platform. These permissions should be more heaviliy restricted compared to the standard Moderator roles.

Insights moderator role

Teammates with this role can access the Insights dashboard and download CSV insights on Glean usage within your organization.

This role should only be provided to select users only; typically Senior Leadership.

AI App Creator role

Teammates with this role can access AI App Builder, view the apps of other users, and create, edit, and delete their own apps.

This role should only be provided to select users only; typically developers and engineering.

Admin Search role

Danger

This role can only be assigned by a Super Admin and should only be assigned to very select members of your organization's security team.

Teammates with this role can access the Admin Search feature which allows them to search across all of the company documnents for sensitive data (and determine ownership of that data).

Sensitive Content moderator role

Danger

This role can only be assigned by a Super Admin and should only be assigned to very select members of your organization's security team.

Teammates with this role can access the Sensitive Content (DLP) features of Glean, and can create and edit DLP Findings Reports.
